We only collect what you give us:

  • Telephone number
  • Approximate annual turnover band

3. Why we use your data & lawful basis

We process your data for these reasons:

  • Legitimate interests — to respond to your quote enquiry, send you a proposal or arrange a callback, and discuss our accountancy services (Article 6(1)(f) UK GDPR). This is our main basis for quote form submissions.
  • Consent — you give explicit consent when you tick the box on the form (Article 6(1)(a)). You can withdraw consent at any time (see section 8).
  • Contract — if you become a client, to fulfil our professional services agreement (Article 6(1)(b)).

4. Who we share data with

We never sell your data. We share it only when necessary:

  • Our secure email provider (SMTP2GO) – to send proposals and callback messages
  • Our hosting provider – to store form submissions and drafts securely
  • Professional advisers (e.g. accountants, lawyers) – if legally required
  • Regulatory bodies (e.g. HMRC, ICO) – if we must by law

Every third party is bound by strict data processing agreements and UK GDPR rules.

5. How long we keep your data

  • Quote submissions & partial drafts: up to 12 months unless you become a client (then kept for the client relationship + 7 years for tax & professional records).
  • Partial drafts: automatically deleted after 30 days.
  • Technical logs (IP, browser info): up to 6 months for security.

6. Where your data is stored

Data is stored in the UK or EEA on secure servers. If any transfer occurs outside the UK/EEA, we use UK-approved safeguards (e.g. adequacy decisions or International Data Transfer Agreements).

7. Your rights under UK GDPR

You have the right to:

  • Access your personal data
  • Correct inaccurate or incomplete data
  • Delete your data (right to be forgotten)
  • Restrict processing
  • Object to processing (including legitimate interests)
  • Data portability
  • Withdraw consent (where we rely on consent)
  • Complain to the Information Commissioner’s Office (ico.org.uk)

To exercise any right, email privacy@accountsdirect.co. We aim to respond within one month, free of charge (unless requests are excessive).

8. Withdrawing consent or objecting

If you gave consent via the form checkbox, email privacy@accountsdirect.co to withdraw it at any time. Withdrawal does not affect processing done before you withdrew.

You can also object to legitimate-interest processing the same way.

9. Security

We use encryption, access controls, secure hosting and regular reviews to protect your data. However, no system is 100% secure – contact us immediately if you suspect a breach.

10. Changes to this policy

We may update this policy. Changes will be posted here with a new "Last updated" date. If changes are significant, we’ll notify you by email if we have your contact details.
